Privacy Statement for ALLIANCE Annual Conference and AGM registrations via Humantix  

About the Annual Conference  

The Health and Social Care Alliance Scotland (the ALLIANCE) is hosting our Annual Conference and AGM on Monday 23 March 2026 with participant registrations being conducted via Humanitix, the online registration site. 

The ALLIANCE Annual Conference 2026, Hope to Action, will be a space to reflect on how far we’ve come while recognising that challenges remain, and now is the time to turn our shared hope into positive and collective action. In celebration of the ALLIANCE’s 20th anniversary, the day will look back at the last 20 years and build upon this to create progress that is both intentional, sustainable and centred on lived experience. 

Delegates of the annual conference who register their attendance online and will be asked to provide their information to allow their registration to be processed and manage their participation at the event.

How can you get involved?  

If you would like to attend the Annual Conference and AGM you can do so through completing the Humanitix registration  

We will ask:  

  • Information about you: Name, personal address, email, finance email address, telephone number (mobile and/or landline), organisation name and address, job titles. financial details/credit card/debit card for online payment, membership of ALLIANCE  
     
  • Information about your dietary and accessibility requirements to support you at the event  

We will only collect the information needed to process your type of registration   

As the registration is online via Humanitix, your IP address will be automatically collected but won’t be used to process the registration responses. Humanitix is located outside of the UK and EU, but they take adequate steps reasonably necessary to ensure that your data is subject to appropriate safeguards to comply with Data Protection Law. How the information will be used?  

We collect and use your information to support event planning and delivery. This includes: 

  • Contact details (name, phone number, email) to register you, send event updates, and follow up after the event. 
  • ALLIANCE membership status to apply the correct ticket price. 
  • Organisation details (name, address, job title) if attending on behalf of an organisation for invoicing, name badges, delegate lists, and networking. 
  • Payment information (address, finance contact, card details) to process payments and issue invoices. 
  • Names will be printed on name badges. 

We may also collect special category data to ensure accessibility and inclusion: 

  • Accessibility or health needs to arrange appropriate support (e.g. BSL interpreters, mobility assistance). 
  • Dietary requirements to inform catering. 

  

How will we contact you?  

The ALLIANCE will contact delegates by their preferred method which will be email or phone. We require contact details so we can contact you with details about the event. This contact will be limited to essential event related communications such as booking confirmations and any updates or reminders related to the Annual Conference.  

Follow up communications will occur through email such as post-event evaluation and event report.   

  

With whom will the information be shared (including transfer of data to a third country or internationally)? 

As Humanitix is outside of the EU, your data may be transferred to countries that may not have the same data protection laws. Humanitix takes steps to ensure your data is protected, using safeguards like legal adequacy decisions or standard contractual clauses. 

Retention of data   

Delegate data collected via Humanitix will be kept by ALLIANCE for up to one year after the event. Finance data will be kept for the year it was collected plus six more years, in line with HMRC rules. 

This allows the ALLIANCE to follow up for feedback, evaluation, or to share future opportunities. 

Any data exported from Humanitix is stored securely by the ALLIANCE and deleted when no longer needed.  

Your rights  

You have the right to withdraw your consent at any time. If you do so before the event, we will remove your details from our registration list and stop using your information for event related communications. 

If you withdraw consent after the event or after your information has been included in published materials (e.g. delegate lists, reports, or online content), we will stop using your information in future publications. However, we may not be able to remove it from materials already shared or archived.  

Data protection  

The ALLIANCE and its sub-contractors will not distribute or disclose your personal information to third parties unless we have your written permission or are required by law to do so. We comply with the Data Protection Act 2018 and GDPR 2018 when handling your personal information.
